Replying to self, to share our findings:
After lots of research, we found this 'police preferred' key safe: https://keysafe.co.uk/products/ark-tamo-key-safe
It has multiple security standards (which I recently found out the cheaper scroll locks do not have!), and has big light up buttons and an LED inside, which will be great for guests arriving late at night, making it easy for them to see and less fiddly.
They don't need a power source, so no wiring, and don't need an internet connection, so it's sure to work every time.
This is undoubtably how we will allow access when we are not on site - easy to use, easy to see and super secure.

Hi, a long delayed update (apologies!) - We have had brilliant feedback regarding the ark Tamo key safe - particuallry the light up buttons which people can easily see on evening arrivals.
Really easy for guests to use and I really feel confident this key safe is a robust and secure piece of kit, no security doubts in my mind at all.
We will share the key safe code with check-in instructions, and away they go! I really couldn't fault it.

To be honest this is the most reliable I have found on Amazon. The most interesting part is the remote access feature. It comes with a wi-fi hub that allows me to manage the lock box from anywhere.
One-time temporary codes, Real-time usage locks, remote unlock, smart key cards etc

Great finds here! We manage a few units and had the same headaches.
We ended up switching to smart locks (Nuki, Shelly, Fermax) and building a small web management tool around them. The main thing it does: you create a guest link that only works between check-in and check-out dates. Guest opens the link on their phone, tap a button, and the door just opens. No need to install the vendor app, no rotating codes, no key handover.
We also had to deal with rental contracts because in our region you're legally required to have a signed short-term rental agreement before anyone stays. So we added that to the same tool rather than juggling a separate process. Guest gets a link, fills in their details, signs digitally, done.
Full disclosure: we built the tool ourselves, it's named Colibree Rental rentals.colibree.io it currently works with Nuki, Shelly and Fermax locks. We're adding more locks over time so if you're interested on trying it drop me a line and we'll see if we can make it work for you too.
